This Privacy Policy describes how AuraPOS LLC (“AuraPOS LLC,” “AuraPOS,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with:

  • Our website at https://mvincepos.com (the “Website”); and
  • Our point-of-sale and salon management platform, including any web portals, booking/check-in pages, kiosks, online forms, dashboards, and related services (collectively, the “Services”).

By visiting the Website or using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Website or Services. If not otherwise defined herein, capitalized terms have the meanings given to them in our Terms of Use (the “Terms”). We may update this Privacy Policy from time to time. You should review this page periodically for changes.

Note: This Privacy Policy is intended to describe our practices in a clear and transparent way. It is not legal advice.

1. Scope and Applicability

This Privacy Policy applies to:

  • Salon owners, administrators, and staff who use the Services to manage appointments, customers, queues, and point-of-sale activity.
  • Salon customers (guests) whose information may be entered into the Services by salons, or who interact directly with AuraPOS powered booking, check-in, or kiosk pages.
  • Visitors to the Website, whether or not they create an account or become a salon customer.

This Privacy Policy does not apply to:

  • Third-party websites, apps, or services that are not owned or controlled by AuraPOS LLC, even if they are linked to or integrated with the Services.
  • Offline interactions that salons have with their customers that do not involve our Services.

AuraPOS LLC currently focuses on customers and salons located in the United States. If you access the Services from outside the United States, you do so at your own discretion and are responsible for complying with local laws.

2. Roles and Responsibilities

Depending on the situation, AuraPOS LLC may act as:

  • A service provider / processor to salons (for example, when we host and process customer data entered by a salon into the POS, booking, or check-in system).
  • A business / controller (for example, when we process data about salon owners and staff in order to manage their AuraPOS accounts, billing, support, security, and communications).

In many cases:

  • The salon is primarily responsible for how it uses its customers’ data, and AuraPOS LLC processes that data on the salon’s behalf.
  • AuraPOS LLC is responsible for operating the underlying systems, securing the platform, and complying with applicable law in how we host and process that data.

If you are a salon customer (guest), AuraPOS LLC typically processes your data under the instructions of the salon you visit. That salon may have its own privacy practices and notices.

3. Definitions

For the purposes of this Privacy Policy:

  • “Personal Information” means information that identifies, relates to, describes, or is reasonably capable of being associated with a particular individual.
  • “Services” means our POS and salon management platform, booking/check-in pages, kiosks, and related tools, as described above.
  • “Salon” or “Merchant” means the business using AuraPOS to manage its operations (for example, a nail salon, spa, or similar business).
  • “You” and “your” mean the individual using the Website or Services, whether as a salon owner, staff member, or customer.

4. Information We Collect

We collect information in several ways. If any of the information we collect can be used to identify a specific person or is linked to such data, we treat it as Personal Information.

4.1 Information You Provide

You may provide us with Personal Information when you:

  • Use the Services (for example, POS, booking, check-in, queue/waitlist, marketing tools).
  • Create a user account as a salon owner, administrator, or staff member.
  • Interact with a salon that uses AuraPOS (for example, when booking an appointment or checking in).
  • Communicate with us by email, phone, or other channels.
  • Submit forms on the Website (for example, demo requests, support requests).
  • Subscribe to newsletters or other communications.

Examples for salon customers (guests) (some may be optional):

  • Full name or nickname
  • Mobile phone number
  • Email address
  • Appointment details (date, time, services selected, duration, and price)
  • Service history (what service you received, when, which technician provided the service)
  • Notes or preferences (for example, nail preferences, allergies mentioned to the salon, preferred technician)
  • Check-in information (time of arrival, party size, queue placement)

Examples for salon owners, managers, and staff:

  • Name
  • Email address
  • Mobile or business phone number
  • Role or position (for example, owner, manager, technician)
  • Business information (salon name, location address, phone number, hours of operation)
  • Login credentials (such as username and hashed password)
  • Settings and configuration choices (for example, services offered, pricing, business rules)

Payment-related information:

At this time, AuraPOS LLC does not directly act as a payment processor. If a salon uses the Services in conjunction with a separate payment provider, that provider will process your payment information (such as card numbers and billing details) under its own privacy policy. AuraPOS LLC may receive limited transaction information, such as:

  • Date and time of the transaction
  • Amount and currency
  • Status of the transaction (approved, declined, pending, refunded)
  • Limited card information (such as the last four digits of a card, card type, expiration month and year)

AuraPOS LLC does not store full card numbers.

Voluntary nature of providing data:

You are not legally required to provide Personal Information to AuraPOS LLC. However, if you choose not to provide certain information, some Website or Service features may not be available to you (for example, if you do not provide a phone number, you may not receive SMS reminders).

4.2 Information We Collect Automatically

When you visit or use the Website or Services, we may automatically collect certain information about your device and how you interact with us. This information may include:

  • IP address and approximate location derived from IP
  • Device identifiers and device type (for example, desktop, mobile)
  • Browser type, language, and operating system
  • Dates and times of visits or interactions
  • URLs of pages viewed, button clicks, and navigation paths
  • Performance and diagnostic data (for example, error messages, latency, response times)
  • Authentication and security-related logs (for example, login attempts, password reset requests)

We may use this information to:

  • Operate and maintain the Services
  • Monitor and improve performance and reliability
  • Detect, investigate, and prevent security incidents and fraud
  • Understand general usage patterns (for example, which features are used most often)

4.3 Information from Salons and Other Third Parties

We may receive information about you from:

  • Salons using AuraPOS, who may upload or input customer data into the Services (for example, existing customer lists, past appointment history recorded before using AuraPOS, or notes stored in another system).
  • Payment or service providers, who may provide us with limited transaction-related data and status updates.
  • Other service providers that help us operate the Services (for example, providers that send emails or SMS messages on our behalf).

When we receive Personal Information from a salon or third party, we treat it in accordance with this Privacy Policy and any applicable agreements with that salon or provider.

4.4 Sensitive Information

We do not intentionally collect sensitive categories of Personal Information (such as health, biometric, or precise geolocation data) directly for our own purposes.

Salons may choose to store certain notes about customers within AuraPOS (for example, allergies or preferences). These notes are entered and controlled by the salon. If you have questions or concerns about this type of information, please contact the salon directly.

5. How We Use Your Information

We use Personal Information as reasonably necessary to:

  • Provide and operate the Website and Services.
  • Comply with legal obligations.
  • Protect our users, salons, and the general public.
  • Improve and develop our platform and features.

More specifically, we use Personal Information for the following purposes:

Providing and operating the Services

  • Managing appointments, check-ins, queues, and service history.
  • Supporting POS workflows (for example, associating customers with visits and tickets).
  • Synchronizing data across devices and interfaces (for example, front desk, technician screens).

Account creation, authentication, and security

  • Creating accounts for salon owners and staff.
  • Authenticating logins and managing passwords.
  • Detecting unusual or suspicious account activity and preventing unauthorized access.

Customer communications

  • Sending appointment confirmations, reminders, and updates.
  • Sending check-in and queue status messages.
  • Sending account-related notifications (for example, password resets, security alerts).

Marketing and promotional communications

  • Sending promotions, special offers, and marketing messages from salons or AuraPOS (where permitted by law and with appropriate consent).
  • Allowing salons to use the Services to send promotional messages to their own customers, subject to consent and applicable laws.

Customer support

  • Responding to emails, calls, or support requests.
  • Investigating and resolving issues or complaints.

Improving and developing the Services

  • Analyzing usage patterns to understand which features are most used and where improvements are needed.
  • Testing and deploying new features or changes to the user interface.
  • Monitoring performance, reliability, and capacity.

Security, fraud prevention, and legal compliance

  • Monitoring, detecting, and preventing fraudulent activities and security incidents.
  • Enforcing our Terms and other policies.
  • Complying with legal obligations, responding to lawful requests, and protecting our rights.

Aggregated and de-identified data

  • Creating aggregated statistics that do not identify individual users (for example, overall number of appointments processed, feature usage rates).
  • Using such aggregated or de-identified data to improve the Services and for internal analysis.

We do not use Personal Information for purposes that are materially different from those described in this Privacy Policy without informing you and, where required, obtaining your consent.

6. How We Share Your Information

We do not sell or rent your Personal Information in exchange for money. We may share information as described below, consistent with this Privacy Policy.

6.1 Salons and Merchants

If you are a salon customer, we may share your information with the salon you are interacting with through AuraPOS, including:

  • Your name or identifying label.
  • Your phone number and/or email address (if provided).
  • Your appointment details, service history, and queue/check-in information.
  • Notes about your preferences that were entered by the salon.

Salons use this information to operate their business, manage their relationship with you, and provide services. AuraPOS LLC does not cross-share one salon’s customer list with another salon’s customer list for marketing purposes.

If you are a salon or merchant, we may display your business information (for example, salon name, location, and contact details) in:

  • Booking and check-in interfaces used by your customers.
  • Transactional messages (for example, receipts, confirmations).

6.2 Service Providers

We may share Personal Information with third-party service providers (“Service Providers”) that help us operate and support the Services, such as:

  • Cloud hosting and infrastructure providers.
  • Email and SMS delivery providers.
  • Security and anti-fraud service providers.
  • Professional advisors (for example, legal and accounting).
  • Customer support tools.

Service Providers are only authorized to use Personal Information as necessary to provide services to AuraPOS LLC and must protect Personal Information in accordance with contractual obligations.

6.3 Business Transfers

If AuraPOS LLC is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, Personal Information may be transferred as part of that transaction. Where required, we will notify affected individuals and provide any applicable choices.

6.4 Legal Compliance and Protection

We may disclose Personal Information if we believe in good faith that such disclosure is reasonably necessary to:

  • Comply with applicable laws, regulations, legal process, or government requests.
  • Enforce our Terms and other agreements.
  • Protect the rights, property, or safety of AuraPOS LLC, our users, salons, or the public.
  • Detect, prevent, or address fraud, security, or technical issues.

6.5 With Your Consent

We may share Personal Information with other third parties when you explicitly consent to such sharing or when you request that we do so.

7. Location, Retention, and Security of Information

7.1 Location of Processing

Personal Information may be stored and processed in the United States and potentially other jurisdictions where our Service Providers operate. Regardless of location, we require our Service Providers to protect Personal Information in accordance with this Privacy Policy and applicable laws.

7.2 Data Retention

We retain Personal Information for as long as reasonably necessary to:

  • Provide the Services to salons and users.
  • Fulfill the purposes outlined in this Privacy Policy.
  • Comply with legal, accounting, or reporting obligations.
  • Resolve disputes and enforce our agreements.

In general, we may:

  • Retain salon account and configuration information while the salon has an active account and for a reasonable period afterward (for example, to facilitate reactivation or comply with legal obligations).
  • Retain customer records in accordance with the salon’s instructions and our agreements, subject to applicable law.
  • Retain logs and diagnostic data for a limited period to support security and troubleshooting.

When Personal Information is no longer needed, we will delete, anonymize, or de-identify it, subject to backup and archival limitations. Data in backup systems may be retained for a limited period and is generally not actively processed.

7.3 Security Measures

We maintain administrative, technical, and physical safeguards designed to help protect Personal Information against accidental, unlawful, or unauthorized destruction, loss, alteration, access, disclosure, or use. These measures may include:

  • Encryption in transit (for example, HTTPS / SSL/TLS) between your browser and our Website or Services.
  • Access controls limiting access to Personal Information to authorized employees, contractors, and Service Providers who need it to perform their duties.
  • Authentication and session management to reduce unauthorized access risks to salon accounts.
  • Change management and logging to track modifications and access to key systems.
  • Vendor review to help ensure that Service Providers maintain appropriate security measures.

However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially reasonable measures, we cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your password, account credentials, and any devices used to access the Services.

8. Cookies and Tracking Technologies

8.1 Cookies and Session Trackers

We and our Service Providers may use cookies, pixel tags, web beacons, and similar technologies (“Cookies” or “Session Trackers”) to:

  • Keep you logged in and maintain your session.
  • Remember your preferences and settings (for example, language or interface options).
  • Understand how you use the Website and Services.
  • Enhance performance, reliability, and security.

You can control Cookies through your browser settings (for example, under “Help,” “Settings,” or “Privacy”). If you disable Cookies, certain features of the Website or Services may not work properly or may be limited.

At this time, AuraPOS LLC does not use third-party analytics tools (such as Google Analytics) to track user behavior on the Website. If this changes in the future, we will update this Privacy Policy and provide appropriate notices.

8.2 Web Beacons

We may use web beacons (also called clear GIFs or pixel tags) in HTML emails or pages to:

  • Determine whether an email has been opened.
  • Measure engagement with content.
  • Improve the relevance and design of our communications.

Web beacons often work in conjunction with Cookies. If you disable Cookies, web beacons may still function, but their ability to associate information with a particular device or individual may be limited.

9. SMS, Email, and Communication Preferences

9.1 SMS (Text Messages)

AuraPOS LLC and the salons that use AuraPOS only send SMS messages to individuals who have provided their phone number and consent to receive such messages in connection with appointments, check-ins, account notices, or promotional offers.

We may send SMS messages for purposes including:

  • Appointment confirmations and reminders.
  • Same-day or upcoming appointment updates.
  • Check-in and queue/waitlist status updates.
  • Account-related alerts and verification (for example, security or login notifications).
  • Marketing, promotional discounts, and special offers (where permitted by law and with appropriate consent).

By providing your mobile phone number to a salon using AuraPOS or directly to AuraPOS LLC, you consent to receive such SMS messages. Message frequency may vary depending on your interactions with the salon (for example, how many appointments you book) and the salon’s marketing practices. Standard message and data rates may apply.

Opt-out of SMS marketing and promotions:

You can opt out of marketing and promotional SMS messages at any time by following the instructions in the message or by contacting us at support@mvincepos.com. Specifically, you may opt out by replying with any of the following commands:

STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT

After you send one of these commands, we will send you a confirmation SMS and you will no longer receive marketing or promotional SMS messages from that program. You may still receive non-marketing, service-related messages (such as appointment confirmations, reminders for upcoming confirmed appointments, or security alerts) as allowed by law.

No sharing of SMS consent:

We do not sell your phone number, and we do not share your SMS opt-in consent with third parties for their own independent marketing or SMS programs.

9.2 Email Communications

We may use your email address to send:

  • Service-related communications, such as account notices, password resets, appointment confirmations, or important updates about the Services.
  • Marketing or promotional communications, such as product updates, newsletters, promotional offers, or feature announcements, where permitted by law.

You can opt out of marketing emails at any time by:

  • Clicking the “unsubscribe” link included in marketing emails; or
  • Contacting us at support@mvincepos.com.

Even if you opt out of marketing emails, you may still receive non-marketing, service-related communications (for example, security alerts, important account notices) where permitted by law.

10. Your Choices and Rights

Depending on your relationship with AuraPOS LLC and applicable law, you may have certain rights and choices regarding your Personal Information.

10.1 Managing Your Information

If you have an account with AuraPOS (for example, as a salon owner or staff member), you can:

  • Access and update certain Personal Information by logging into your account.
  • Change certain settings and preferences within the dashboard.

10.2 Requests by Salon Customers

If your Personal Information was provided to AuraPOS LLC by a salon that uses the Services, that salon is often the primary controller of your data. In such cases:

  • Requests to access, correct, or delete your customer record should usually be directed to the salon.
  • We may refer your request to the salon or work with them to respond, in accordance with our agreements and applicable law.

If you contact AuraPOS LLC directly about data that is controlled by a salon, we may notify the salon, ask them for instructions, or provide you with their contact information where appropriate.

10.3 Additional Rights for Certain U.S. Residents

Certain states, including California, may provide residents with specific rights regarding their Personal Information (for example, rights of access, deletion, and “do not sell or share” choices). See Section 15 (California Privacy Rights) below for more details. If other state-specific rights become applicable, we will update this Privacy Policy accordingly.

11. Social Media

We may maintain pages, profiles, or channels on social media platforms such as Facebook or Instagram. Any information you post or provide on those platforms is subject to the privacy policies and terms of the respective platform, not this Privacy Policy.

You should avoid posting sensitive information (such as payment details, account credentials, or personal identifiers) on social media.

12. Other Websites and Services

This Privacy Policy applies only to AuraPOS LLC, the Website, and the Services.

It does not apply to third-party websites, applications, or services that we do not own or control, even if they are:

  • Linked to from the Website or Services; or
  • Integrated with the Services via plugins, widgets, or APIs.

Third parties are responsible for their own privacy practices. We encourage you to review the privacy policies and terms of any third-party websites or services you visit.

13. Do-Not-Track Settings

Some browsers allow you to send a “Do Not Track” (DNT) signal to websites. There is currently no industry-standard response to DNT signals, and we do not respond to them at this time.

You can still manage Cookies and other tracking technologies through your browser settings.

14. Children and Minors (Under 18)

Our Website and Services are intended for use by adults. We do not knowingly collect Personal Information from individuals under 18 years of age.

If we become aware that someone under 18 has provided us with Personal Information, we will take steps to:

  • Delete such information; and
  • Terminate or limit that individual’s access to the Services.

15. California Privacy Rights (If Applicable)

AuraPOS LLC operates in the United States and may have salons and customers in California. If you are a California resident, you may have certain rights under California law, including the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). These rights may include, subject to certain exceptions:

  • Right to know: The right to request information about the categories and specific pieces of Personal Information we have collected about you, the sources of that information, the purposes for which it is used, and the categories of third parties with whom it is shared.
  • Right to delete: The right to request deletion of certain Personal Information that we have collected about you, subject to legal and other permitted retention.
  • Right to correct: The right to request correction of inaccurate Personal Information we maintain about you.
  • Right to opt out of “sale” or “sharing”: The right to opt out of certain uses of your Personal Information that may be considered a “sale” or “sharing” for cross-context behavioral advertising under California law. At this time, AuraPOS LLC does not sell Personal Information for monetary compensation and does not share Personal Information for cross-context behavioral advertising.
  • Right to non-discrimination: The right not to be discriminated against for exercising any of the above rights.

To exercise any of these rights, you may contact us at support@mvincepos.com with the subject line “California Privacy Request.” We may need to verify your identity before responding.

If your Personal Information is controlled by a salon using AuraPOS, we may direct your request to that salon or coordinate with them to respond as appropriate.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect:

  • Changes to the Services or our data practices;
  • Changes in law or regulatory requirements; or
  • Other operational needs.

When we do, we will:

  • Update the “Last Updated” date at the top of this page; and
  • Provide additional notice if required by law (for example, by email or a prominent notice on the Website).

Your continued use of the Website or Services after any changes become effective means you accept the updated Privacy Policy.
